Under immediate supervision, performs difficult clerical and secretarial work providing administrative support to assist a six-member senior staff.
EXAMPLES OF DUTIES AND RESPONSIBILITIES:
Composes/designs a variety of technical reports, correspondence, and various documents working from rough drafts and/or using dictation or computer. Arranges and processes travel; schedules meetings; researches, compiles, and prepares a variety of reports; is the primary person responsible for payroll verification and reconciliation; tracks personnel actions and budget activities; processes confidential information; drafts proclamations, resolutions and other documents; enters information in city and department document management systems; serves as receptionist, answering calls and receives and distributes mail; handles petty cash; orders office supplies; and reconciles purchasing cards. Pulls incident reports and conducts the department’s customer satisfaction survey. Any duties assigned by a senior staff member in assisting with responsibilities of fire administration.
Any combination of education and experience equivalent to an associate degree in business or public administration or a related field, supplemented by courses in business and secretarial subjects and four years’ experience of increasingly responsible clerical and secretarial work.
Thorough knowledge of business English, grammar, spelling, and arithmetic; ability to interpret and apply policies, regulations, and procedures; ability to keep financial and statistical records; ability to establish and maintain effective relationships with the public and co-workers. Ability to grasp various computer software/applications, such as Telestaff and Kronos (timekeeping); proficient in Microsoft Outlook and Microsoft Office Suite, specifically Word, Excel, and Access; records and document management systems. Must possess excellent communication abilities, both written and spoken. Ability to operate a computer, printer, scanner, copier, facsimile, and calculator. Obtain notary public status.
PHYSICAL REQUIREMENTS: (Reasonable accommodations may substitute for any physical requirements listed): Must be able to consistently lift or move up to 25 lbs.; ability to maneuver consistently within an office area; operate light equipment and possess a valid license for passenger vehicles; work with small objects; ability to read, write and interpret, hear and speak well enough to communicate with others daily. This position will work indoors, which requires long periods of standing/sitting.
